Healthcare Organizations need help dealing with data

By Patty Enrado

The challenge of any healthcare organization is the ability to deal with data that is doubling every year, said Lior Blik, CIO of Hoboken University Medical Center and president and CEO of NIT Connect. Not only do organizations need to store data, but they require appropriate and rapid searching capabilities, he said. With mobility of clinicians and non-clinicians within and without the healthcare system also growing, document collaboration and communication must also be managed. That requires providing the appropriate security with minimal barriers for users accessing document management applications, Blik said.

Three Trends To Watch

Lior Blik, CIO of Hoboken University Medical Center and president and CEO of NIT Connect, identified three trends that will continue to grow in 2009:

1. OUTSOURCING: Hosted applications using Web technologies, versus in-house or licensed applications, are taking over the market, thanks to reduced labor costs and the level of knowledge a healthcare system is required to have to manage the application.

2. ACCESS: With mobility among users increasing in the healthcare industry, remote access to documents is critical.

3. EXPANSION: More intelligence is required in the management features of the document management applications to manage storage resources and systems, and thereby reduce costs.

USER REVIEWS

“Horizon Patient Folder transformed our workflow processes increasing efficiency, productivity and physician satisfaction. We were able to decrease our supply expense, reallocate staff and decrease discharge not final billed. I don’t know how we functioned in the paper world!” Lesson learned: “Workflow can be hard to manage and understand.”
Jean Ward, RHIA, director, Health Information Services, Methodist Medical Center.   “Hospital personnel thought the transition from paper to electronic was a well-organized process that fostered open communication and enhanced customer service.” Lesson learned: “We found the interfaces to be challenging and learned that you can never do enough testing.” Jamie McDonough, HIM director, Jameson Health System.

“Encompass PM is a user-friendly innovative system that generates Web-based capabilities of provider data management and credentialing verification. ... It has various audit/reporting functions, in addition to online provider application with electronic submission and complete image management.” Lesson learned: “Customer expectations were difficult to achieve initially as a result of staffing changes at Medversant Technologies; however, the overall level of customer service and leadership has tremendously improved. Significant changes have been made to the quality of data along with consistent processes being implemented in regards to customer focus.” Kelly Talbot, HTPN, physician relations representative, Transplant Associates at Baylor.

“Since deploying the comprehensive SharePoint solution combined with KnowledgeLake services, we implemented an extraordinarily cost-effective program that changed the way we do business. IBH has grown by 200 percent in its operations, and that growth has been easily managed by just two people.” Lesson learned: “At IBH, we used paper-based systems, causing backlogs of 800 to 1,000 claims. It filled hundreds of file cabinets with patient charts, and claim processing took far too long. We learned that with the adoption of Microsoft SharePoint Server and KnowledgeLake, we could double our operations with only two people.  Original source documents now can be accessed electronically in seconds, rather than in hours. Customer service has improved and productivity has soared.” Ed Bosanac, Office of the President, Integrated Behavioral Health.   In addition to improvements in delinquency rates as well as discharge not final billed, we also saw an increase in customer satisfaction in terms of being able to have charts available online, whenever and wherever needed (Siemens).”
Lesson learned: “The initial reaction to eHIM was negative because of the uncertainty of changing from a paper based medical record to an electronic version.”
Gloria Sharon, Director HIM, Wyoming Valley Health Care System.   “RAS implements quickly with minimal training, which allows you have immediate information across all areas that have access and the support even after seven (7) years is still exceptional.”
Lesson learned: “Make sure you involve all departments and do an assessment to make sure you do not miss anything.”
Sarah Longest, CIO, Grenada Lakes Medical Center.
